This minimizes the chance of leads being overlooked or contacted late, as each inquiry has a designated owner from the start. I've also used the API to enhance our duplicate management. When a new contact or lead arrives from an online source, the system quickly checks the existing database of over 50,000 contacts in seconds, which is impressively fast. Clear duplicates can be merged automatically, while more complex ones are sent to review tasks. This saves time, reduces manual work, and prevents two salespeople from contacting the same customer. Additionally, we connected 3CX to HubSpot via a private app, enabling sales calls to be recorded and attached to the correct contact record. This gives the team a better history of customer conversations and reduces reliance on manual notes. Overall, HubSpot has improved lead assignment, follow-up, data quality, and accountability. The private apps and API are particularly valuable for automating routine tasks and solving real operational problems in a way that suits our processes. One area for improvement is the dashboards. They work well for standard reporting but lack the interactivity and flexibility of Power BI dashboards, especially when users want to drill into data and explore it in more detail. The marketing contact limits can also be problematic, as exceeding the allocated number incurs extra costs. This makes careful contact management essential, especially for businesses with large databases. Another issue is that HubSpot includes many useful features that are not always easy to find. We sometimes discover certain tools or capabilities much later, even though they could have helped us earlier. Clearer guidance on what features are included in each subscription, along with practical examples, would be very beneficial. The initial setup also required a lot of time and effort. It took us about a year to backfill historical data and another six months to train the sales team on proper CRM usage. With staff turnover, new employees need regular training, adding to the ongoing workload. In summary, HubSpot has many features and settings that users need to understand before they can fully benefit from the system. Without proper training and ongoing support, it's easy for a company to underutilize the CRM and miss out on features they're already paying for.
