"User-Friendly, Intuitive, and Supported by Excellent Customer Service"
The biggest win for us is that CodeTwo solved centralized signature management in a way that just works. The template editor is genuinely intuitive—drag-and-drop with a live preview—so our marketing team can update banners and disclaimers without filing an IT ticket. The admin UI is clean and modern, which is rare for tooling in this space. Integration with Microsoft 365 and Entra ID was painless. User attributes sync automatically, and because signatures are applied server-side, they show up consistently across Outlook desktop, OWA, and mobile—no client-side add-in headaches or "why is my mobile signature different" tickets. Performance has been rock solid. Signatures are stamped in transit with no noticeable mail-flow delay, and we haven't had availability issues since rollout. The per-mailbox pricing is reasonable, and the ROI showed up almost immediately—we got back the hours IT used to spend manually fixing signatures one user at a time. It paid for itself within the first quarter for us. Onboarding was smooth: clear documentation, and the support team responds quickly with real answers rather than canned replies. When we needed help configuring a conditional rule for a specific department, they walked us through it the same day. The rules-based logic and dynamic placeholders handle most personalization intelligently—you can vary signatures by department, location, or campaign without maintaining dozens of templates, which keeps the whole system manageable as the company grows. CodeTwo covers everything we need. No improvements to suggest from our side. What problems is CodeTwo Email Signatures 365 solving and how is that benefiting you? It gave us one place to manage email signatures across the whole company instead of relying on users to set their own—which never worked. Branding is now consistent across Outlook desktop, web, and mobile, and legal disclaimers are actually applied everywhere they need to be. Marketing can swap in campaign banners without involving IT, which has turned signatures into a usable channel rather than dead space. Updates roll out in minutes instead of days. The Entra ID integration means new hires get a correct, on-brand signature on day one with no manual setup, and role changes propagate automatically. That alone saved our IT team hours each week and eliminated the steady trickle of "can you fix my signature" tickets.
"Dependable, Quick Deployment with Fast Updates and Attentive Support"
Deployment is simple, the solution is dependable, and signature updates are applied rapidly without any user action needed. The admin portal is intuitive, and the technical support team has always been responsive and helpful whenever we needed assistance. More built-in reporting and analytics—such as insights into marketing banner engagement or signature usage—would be a valuable addition. While the product is easy to use, new administrators might benefit from more guided wizards or templates for advanced configurations. We can centrally manage and deploy standardized email signatures, ensuring every outgoing email includes accurate contact details, company branding, legal disclaimers, and marketing banners. This has greatly reduced the administrative effort required to maintain signatures and eliminated the need to configure signatures on individual user devices.
"Comprehensive and straightforward, with some constraints on custom fonts"
CodeTwo Email Signatures 365 is a highly complete solution for managing email signatures in Microsoft 365. The UI is clean and intuitive, making it easy even for non-technical users to create and manage signatures.
Integration with Microsoft 365 is flawless, and performance has been dependable with consistent outputs across all devices. It saves considerable time compared to manual management and ensures a professional, uniform appearance for all emails, offering good value for the price.
The platform also demonstrates strong 'intelligence' in automating signature management—automatically applying the appropriate template based on users, rules, and scenarios without manual input.
What stood out most was the support: when I encountered difficulties, the technical team was responsive, knowledgeable, and quickly resolved everything.
Overall, it's a reliable, user-friendly product that simplifies daily management and enhances communication quality across the organization. CodeTwo Signatures 365 has a very intuitive, well-designed editor, but I found limitations with custom fonts. The built-in font options are solid, but integrating external or branded fonts isn't straightforward in practice.
While it's technically possible to define custom fonts via HTML, this requires manual editing and isn't something most users would expect from a visual editor. The editor works well for standard use cases, but if your organization relies heavily on specific branding fonts, maintaining consistency can be a challenge. CodeTwo Signatures 365 helped me easily standardize a new company-wide email signature, replacing a previous approach where each user created their own signature individually and only on desktop. This alone saved time and ensured consistent branding across all devices.
"Easy Setup, Extensive Customization, and Expert Support"
What I truly appreciate about CodeTwo Email Signatures is how it combines ease of setup and maintenance without sacrificing customization. Too often, platforms limit features because they think it's too complex or overwhelming.
It integrates seamlessly with Microsoft, and performance is excellent—changes take effect almost instantly, and it's extremely reliable; you can set it and forget it.
Pricing is a no-brainer. We definitely consider cost, but it's also at the point where we think, "Why wouldn't we? Look at what it does!"
Support is the standout. With CodeTwo, you don't deal with annoying AI chatbots; you get a real specialist who responds quickly, and their website has detailed documentation that guides you through setup and troubleshooting. Honestly, I can't think of anything I dislike. If I were being picky, I might wish for more font options or the ability to upload custom brand fonts. Maybe there's an option I've missed.
Is it necessary? Not really, it's fine as is. Our challenge is that we have many employees and volunteers with various roles across different areas.
How do you maintain clean, consistent email signatures and simple autoresponses that work when you need them? You use CodeTwo. It's very easy to configure initially and super simple to change quickly.

"Intuitive, Flexible Signatures with Outstanding Support from CodeTwo"
CodeTwo has proven to be an excellent email signature solution for our organization. The platform is intuitive and user-friendly while offering a high degree of flexibility and customization for various staff groups and email accounts.
Implementation and ongoing management have been smooth, and the support from the CodeTwo team has been outstanding. Support requests receive quick responses with clear, detailed guidance.
A special thanks goes to Bartosz Przetacznik, who consistently went above and beyond. In addition to thorough email support, he arranged Microsoft Teams calls and walked me through processes step by step, ensuring I could handle tasks independently. His expertise, patience, and willingness to help significantly enhanced our experience.
I would wholeheartedly recommend CodeTwo to any organization seeking a reliable and highly customizable email signature management solution. My only challenge was inheriting an existing setup without being part of the initial configuration, which made it difficult to grasp some aspects initially. The email signature editor can be a bit tricky for custom signatures, especially when viewing across platforms, but again, the support was very helpful in getting them to work. CodeTwo Email Signatures 365 has enabled us to centrally manage email signatures across the organization, ensuring a consistent and professional look for all staff communications. It has removed the need for staff to manually create and maintain their own signatures, reducing errors and saving administrative time.
The platform's flexibility allows us to apply different branding, contact details, acknowledgements, pronouns, and role-specific information to different user groups while maintaining organizational standards. Changes can be made quickly and confidently across the organization without requiring individual staff intervention.
For us, this has improved consistency, strengthened our professional branding, and significantly reduced the ongoing effort required to manage email signatures.
"All-in-One Solution for 365 Signatures"
I appreciate not having to guide clients on manually adding signatures. It's also reassuring that all signatures are consistent and present a more professional image. Different departments can have distinct signatures, and there's a simple keyword system to exclude signatures from specific emails. Whenever I need help, the CodeTwo support team is always available. Over the years, I haven't experienced any major outages, and I've always received quick replies for any configuration issues with client signature setups. I can't really think of any downsides. If I had to nitpick, some clients don't grasp the downsides of using images in signatures, but that's not a product issue. For me, creating signature templates from scratch for some clients can be a bit tedious, but the CodeTwo support is always there to help. Companies no longer have to rely on staff to update or add their signatures. Signatures maintain the same formatting when users send emails from mobile devices! Overall, it saves time for both IT and end users.
"Centralized server-side signatures with dynamic Entra ID templates"
Signatures are applied centrally on the server side, ensuring consistency across all devices and clients, including shared mailboxes. Templates fetch user information dynamically from Entra ID, so setup is one-time with no per-mailbox maintenance—perfect for managing a multi-office tenant. Template editing can be finicky; spacing and rendering don't always align across Outlook, OWA, and mobile, so it requires some tweaking. Shared-mailbox dynamic signatures needed workarounds, and because stamping is done server-side, users don't see the signature while composing, which sometimes causes confusion. It addresses signature consistency and compliance across a multi-office, multi-country environment. Instead of depending on users, we enforce a standardized signature company-wide, applied server-side and populated dynamically from Entra ID—so every email has accurate contact info and compliant disclaimers on any device. It also reduces IT workload (no per-mailbox tasks), covers shared mailboxes centrally, and allows us to deploy banners or feedback buttons across the org. The result is consistent branding, guaranteed compliance, and significantly less manual effort.
"Consistent signatures across devices with prompt, personal support"
Having all my signatures (for both standard M365 accounts and shared mailboxes) accessible on all my PCs is a major plus. It's equally handy that the automatic signature is added when I'm away from the office and emailing from my phone. Setting up and making changes later is fairly simple, and everything is ready when I need it. And if there's ever an issue, we can call and get a response from a personal support engineer within 1-2 hours. Sometimes it's not entirely clear what the distinction between Cloud, Combi, and Local is. This helps us maintain uniform signatures for all employees and implement changes quickly whenever a signature needs updating. Previously, each person had to do it individually, and human errors often led to issues. Now it saves time, adjustments can be made fast, and the operation is straightforward.
"Simple Centralized Signatures with Quick, Effective Support"
CodeTwo Email Signatures 365 is an excellent tool that removes the burden of managing email signatures organization-wide. Once set up, there's no need to worry about employees creating or updating their own signatures since everything is centrally managed and automatically applied. Whenever help is needed, the CodeTwo support team responds swiftly and offers effective solutions. Honestly, I haven't come across any major downsides. The product has been dependable, easy to administer, and has fulfilled all our needs. Whenever we've reached out for support, they've been prompt and helpful, so there's very little to criticize. This solution addresses the challenge of managing email signatures across the entire organization. Rather than depending on employees to handle their own, everything is managed centrally and automatically applied to all outgoing emails. This guarantees a uniform company image, avoids user mistakes, and significantly reduces administrative workload. It also saves time when employee information changes, as updates are made once and instantly reflected company-wide.
"Straightforward setup, effortless signature creation, and responsive assistance"
The whole process from account creation to setting up and activating signatures is clearly outlined and very user-friendly. For nearly any issue, there are tutorial videos on YouTube readily accessible. Crafting signatures is quite simple even for novices, whether starting from templates or building from zero. Configuring dispatch rules is also straightforward, with step-by-step guidance.
Support is highly responsive and provides useful answers. Since we're still in the trial phase, I can't yet judge the value for money, but the pricing seems fair at first glance. Signatures get attached without a hitch; however, there are occasional rendering issues with images. I'm confident the support team will resolve that.
In general, the wide range of features—both for rules and signature design—feels very user-centric and accommodating. The Outlook add-in integration also appears practical and well-executed. Images aren't being transmitted at the moment, but support is on it. Apart from that, nothing else has come up during testing. This tool centralizes and standardizes email signatures, eliminating inconsistencies across mobile and HTML formats—something Microsoft hasn't managed well. Additionally, signatures can be auto-appended to emails from various connected systems, which is typically cumbersome without a dedicated Outlook add-in.
